Flight Planning is one of the most comprehensive subjects in the ATPL syllabus. In plain terms, it answers a single question: how do you prepare a flight so that it can be conducted safely, efficiently, and legally before the aircraft even leaves the ground?
What makes Flight Planning different from most other ATPL subjects is that it does not focus on one area of knowledge. Instead, it brings together concepts from Performance, Mass and Balance, General Navigation, Radio Navigation, Meteorology, and Operational Procedures and applies them all to the practical preparation of a real flight. In that sense, Flight Planning is the subject where everything else comes together. 01 What Flight Planning is really about
At its core, Flight Planning explains how to prepare, organise, and monitor a flight from departure to destination. Before any flight begins, pilots must determine the route, select appropriate cruising levels, check airspace restrictions, calculate the time needed for each part of the flight, and work out how much fuel is required to complete the journey safely. These tasks require careful use of charts, navigation data, aircraft performance information, and weather conditions.
The subject covers two main planning environments: visual flight planning and instrument flight planning. Both involve selecting suitable routes, measuring distances and tracks from charts, and calculating flight parameters such as ground speed, drift, and time between waypoints.
A major part of the subject is understanding aeronautical charts and procedures. Pilots must be able to read departure procedures, arrival procedures, and instrument approach charts, pulling out key information such as altitude restrictions, navigation aids, frequencies, and routing instructions.
Flight Planning also covers the preparation and filing of a flight plan with air traffic services. This includes understanding the standard flight plan format and correctly filling in information such as aircraft identification, route, equipment, and estimated times.

Many students find fuel planning one of the most difficult parts of the subject. The difficulty is not complex maths — it is the structured method that must be followed. Each fuel component has a specific purpose and must be calculated in the right order. Missing one step or getting the sequence wrong can easily lead to an incorrect result.
2. Interpreting navigation logs
Navigation logs and flight progress documents contain both planned data and actual in-flight data. Students must learn to tell the two apart and understand how differences from the original plan affect time, fuel consumption, and arrival estimates. Flight Planning involves a lot of work with aeronautical charts and instrument procedures. 4. Understanding NOTAM information

Although most of the subject is about applying procedures and doing calculations, some definitions do need to be learned. These include the minimum altitudes shown on instrument charts, the classification of instrument approaches, and the structure of the standard flight plan format.

03 Common mistakes students make
1. Fragmented approach
The most common mistake is treating Flight Planning as a collection of separate topics rather than one connected process. Students who study fuel planning, chart reading, and navigation logs independently without linking them together often struggle when exam questions combine two or three of those areas in a single scenario.
2. Wrong sequence
Getting the fuel planning sequence wrong is another frequent issue. Each fuel component must be calculated in a specific order. Students who learn the individual components without understanding the sequence find that their calculations produce incorrect results.
3. Rushing the charts
Rushing through chart and procedure questions is also a consistent problem. Aeronautical charts contain a lot of information, and missing one detail leads to the wrong answer.
4. Low priority, high cost
Finally, students often underinvest in NOTAMs and flight plan format. These areas feel administrative and are easy to deprioritise, but they appear regularly in the exam.

2. Practice complete planning scenarios
Practice with navigation logs and real flight planning scenarios is particularly useful. Working through complete planning examples builds the kind of joined-up understanding the exam tests.
3. Give charts and procedures dedicated time
Charts and procedures need dedicated study time. Getting familiar with the layout of common aeronautical charts makes it much easier to find the right information quickly.
4. Repeat fuel planning until the sequence is automatic
Fuel planning calculations should be practised repeatedly until the standard method feels automatic. Once the sequence is clear, most problems follow very similar patterns.

06 Why Flight Planning matters in real life
Flight Planning is not a theoretical exercise — it is what happens before every single flight.
Before departure, pilots must work out the route, choose the most suitable cruising altitude, and calculate the fuel needed to reach the destination safely while keeping the right safety margins.
Fuel planning becomes especially important when something unexpected happens. A weather change, an air traffic delay, or a route deviation can all affect fuel consumption and arrival time. Knowing how to update the fuel plan during flight helps pilots make informed decisions and keep safe fuel reserves.
